Terms and Conditions

These Terms and Conditions form an integral part of the agreement concluded upon purchase of an admission pass ("Ticket") for Tectonic ("Event"), applying to each person who purchases Tickets ("Buyer") for the Event.

The agreement is concluded between the Buyer and the organisers of Tectonic: NextGen Belgium, In The Pocket, and Flanders Technology & Innovation (jointly referred to as the "Parties"). The Buyer is presumed to be the person attending the Event ("Attendee"). When the Buyer purchases a Ticket for a third party who becomes the Attendee, this third party shall be informed by the Buyer of these Terms and Conditions and will be considered to have accepted them. The Buyer guarantees this and fully safeguards the organisers.

NextGen Belgium, In The Pocket, Flanders Technology & Innovation, and their respective employees, volunteers, representatives, independent workers, subcontractors, and consultants are collectively referred to as the "Organisers".

1. Ticket Categories

The Organisers offer several ticket categories including early bird, startup, enterprise, investor, and student tickets. The Organisers reserve the right, at their sole discretion, to determine eligibility and allocation of any Ticket or category to any party or individual. The Organisers' decision is final and binding, with no obligation to provide justification.

Early bird tickets are available at reduced rates until 26 September 2025.

Startup tickets are for founders and employees of technology startups with fewer than 50 employees and less than €10M in annual revenue, focusing on scalable tech products or software-based services.

Enterprise tickets are for corporate attendees, consultants, service providers, and those not qualifying for startup or investor categories.

Investor tickets are for individuals working for entities making direct investments in startups or venture capital funds—VCs, CVCs, LPs, family offices, and M&A investors, plus individuals investing directly from personal wealth or as part of a syndicate.

Student tickets are for individuals enrolled in active study programmes from recognised universities or colleges during academic year 2024–2025. Official student identification must be presented at entrance.

2. Ticket Validity

The Buyer is personally responsible for ensuring purchased Tickets are not passed to or copied by unauthorised third parties. Only the first Ticket presented will be valid for Event access.

Reselling or exchanging Tickets is prohibited except as permitted under Article 2.4. The Organisers reserve the right to cancel Tickets offered for sale or fraudulently purchased. Cancellation costs shall be borne by the seller and purchaser respectively.

If the Ticket name differs from the attendee's identification document, the Organisers may deny access without replacement, refund, or compensation, except as permitted under Article 2.4.

Tickets purchased for the Event are non-refundable under any circumstances. However, tickets may be transferred to another individual with written notice sent to info@tectonic.eu no later than forty-eight (48) hours before the Event start. Notice should include the original Attendee's name and the transferee's full name and contact information. Transfer requests received less than forty-eight (48) hours before the Event may not be honoured.

Ticket forgery will be subject to legal prosecution. The Organisers reserve the right to verify Attendee identity through identification documents, as stated in Article 4.

Lost, stolen, or damaged Tickets will not be replaced, refunded, or compensated.

3. Ticket Revocation by the Organisers

The Organisers reserve the right to revoke any Ticket at any time for any reason, including cases where the Buyer purchased a Ticket in the wrong category. Buyers should carefully review ticket selection before purchase, as revoked Tickets may not be eligible for refund or exchange.

If revocation occurs due to wrong category purchase, the Organisers may, at their sole discretion, offer the opportunity to purchase a Ticket in the correct category, subject to availability and any additional fees.

The Organisers will not be responsible for additional costs, expenses, or damages incurred by the Attendee due to revocation under this provision.

4. Identity Verification

The Organisers retain the right to verify Attendee identity when entering Event premises. You must have valid identification. Non-compliance may result in denied access without replacement, refund, or compensation.

Valid identification means a valid identity card, passport, or driving licence. Copies will not be accepted.

5. Access to Event Premises

The Organisers can deny Attendee access if:

  • the Attendee is under the influence of alcohol or drugs;
  • the Attendee shows clear behaviour intended to provoke violence, hatred, or aggression;
  • the Organisers believe there is sufficient reason to proceed with this measure.

In all cases above, there is no right to replacement, refund, or compensation.

6. Rules of Conduct

Attendees shall adhere to Organisers' rules and act reasonably at the Event. At Event premises, Attendees are prohibited from:

  • entering areas without proper ticket access;
  • blocking entrances, exits, and emergency exits;
  • distributing flyers or promotional items without explicit Organisers' consent;
  • posting materials during the conference or in the vicinity;
  • selling food, beverages, or products without explicit Organisers' permission;
  • any illegal or disruptive activities causing danger or hindrance to the Organisers or other Attendees.

Failure to comply with prohibitions or the Organisers' code of conduct may result in removal from Event premises and denied future access without replacement, refund, or compensation.

Attendees must comply with all Organisers' instructions given to ensure public peace and safety. Non-compliance may result in removal and denied access without replacement, refund, or compensation.

7. Liability Waiver

Within legal limits, the Organisers cannot be held responsible for any damage (including physical damage), loss, theft, or accident whatsoever.

8. Force Majeure and Unforeseen Circumstances

In cases of force majeure, terrorism threats, mandatory police or security service orders, or other unforeseen circumstances, the Organisers reserve the right to:

  • cancel the Event;
  • terminate or suspend the Event;
  • temporarily keep Attendees on site until Event end;
  • require Attendees to fully or partially leave Event premises;
  • deny Attendees access to the site, even with valid entry tickets.

In all cases above, there is no right to replacement, refund, or compensation.

Even if the Organisers are forced to change Event contents and/or process, Attendees cannot claim rights to replacement, refund, or compensation.

9. Privacy and Personal Data

The Organisers process attendees' personal data within their activities framework. By contracting with the Organisers (through Ticket purchase) and visiting the Event, Attendees agree to this processing per the Privacy Policy communicated during ticket ordering. The Privacy Policy is available on the website and can be requested by emailing info@tectonic.eu.

Event Attendees may be photographed and/or filmed. Attendees waive portrait rights upon entering Event premises, meaning images can be used for promotional, commercial, and/or security purposes. This applies to audio recordings. Pictures made by Attendees on Event premises cannot be used for commercial or public purposes without prior written Organisers' consent.

10. Applicable Law and Dispute Resolution

The agreement, including these Terms and Conditions, shall be governed by and construed according to Belgian law.

Should disputes arise, Parties will endeavour to resolve them in good faith. If disputes are not resolved within thirty (30) days through negotiations, each Party may submit unresolved issues to the courts of Ghent, which shall have exclusive jurisdiction to settle disputes.
